Odoo for consulting and HR firms, from proposal to invoice.
A services firm has one thing to sell, and it is hours. Most firms cannot say on a Friday how many of this week's hours will be billed.
We set up Odoo for consulting, staffing, and administrative service firms so the proposal, the project, the timesheet, and the invoice are one chain. Multi-state payroll and staffing compliance are specialist work, and we say where Odoo stops.
- Written scope before work starts
- Built on staging
- Supported after launch
Where a services firm leaks hours.
Proposals in one tool, projects in another
What was sold is retyped into a project plan. The scope that was promised and the scope being delivered drift apart.
Timesheets nobody trusts
Hours are entered late and rounded. Invoices get discounted because nobody can defend the detail.
Utilization seen in arrears
Who is overbooked and who is idle is known when the month closes, which is too late to move anyone.
Retainers that overrun quietly
A fixed monthly fee covers a set of hours. Nobody tracks the hours until the client relationship is already strained.
Odoo for consulting and HR firms: what it covers.
Pipeline and proposals
Opportunities move through stages, and proposals are built from service templates and signed online.
Projects, tasks, and planning
A signed proposal creates the project and its tasks. Planning shows who is booked on what, by week.
Timesheets that feed invoices
Time is recorded against a task, approved, and invoiced as time and materials, fixed fee, or against a retainer.
Applicants and placements
The Recruitment app tracks jobs, applicants, stages, and interviews. For internal hiring it is standard, and for placements it is a starting point.
| Need | Usually configuration | Needs its own scope |
|---|---|---|
| Billing | Time and materials, fixed fee, milestones, and recurring retainers. | Client-specific rate cards with complex rules, and split billing across entities. |
| Utilization | Planned against actual hours by person and project. | Forecasting models and dashboards beyond the standard reports. |
| Staffing | Applicant tracking and placement records. | Temp payroll, worker compliance, and job board or background check connections. |
| HR for your own team | Employee records, time off, appraisals, and expenses. | Payroll and benefits. Usually a payroll provider, connected. |
This is a guide, not a price list or a promise. What applies to you depends on your Odoo plan, your current software, and your rules, and it is settled in a written scope before work starts. See Odoo implementation and Odoo integrations.
Keep the payroll provider.
Payroll, benefits, and worker compliance carry penalties when they are wrong, and providers exist that do nothing else. Keep yours. A staffing agency with a platform built for temp payroll should keep that too. Odoo's place is the firm's own chain from proposal to invoice, with hours passed to payroll instead of retyped.
Connecting systems that are not Odoo is covered under API and systems integration, and software built for your own rules under custom software.
One engagement, from proposal to paid.
This is how the work can move once the steps share one record. Your version will differ, and which steps are configuration or integration depends on your setup.
-
The proposal is signed
The client signs online. The project, its tasks, and its budget of hours are created from the proposal.
-
People are booked
Consultants are planned by week. Conflicts and gaps show before the work starts.
-
Time is recorded
Hours go against tasks each day and are approved each week. The project shows hours used against hours sold.
-
The invoice is sent
Approved time becomes an invoice with detail the client can read. Payment is matched when it arrives.

Six phases, one accountable team.
-
Understand the workflows
We follow real work through your operation: where it starts, who touches it, where it waits, and where it gets retyped. You get a written scope that says what we found and what we recommend.
-
Configure and integrate
Configuration first, integration second, custom work last and only where the first two fall short. Everything is built on staging, not on your live system.
-
Validate the data
Your records are cleaned and loaded on a test copy, then checked by the people who know them. Bad data is the most common reason a launch disappoints.
-
Train the team
Each team learns its own part on its own real cases. Short written guides stay behind.
-
Launch
A planned cutover with a checklist, a way back, and us on hand while the first real work goes through.
-
Support
After launch the system has an owner. Odoo Support runs month to month, and Odoo Operations is a committed engagement for teams that want us to own the platform.
Questions we hear from consulting and HR firms.
Can Odoo run payroll?
Odoo has payroll features, and they vary by country and version. For firms in the United States we usually recommend keeping a payroll provider and sending it approved hours. That decision is made in the scope, with your accountant.
Is Odoo a staffing agency platform?
No. It tracks applicants and placements, and it bills time. It does not handle temp payroll, worker classification, or compliance documents as standard. Agencies with those needs keep their staffing platform.
Can clients see their hours and invoices?
Yes. The customer portal shows projects, tasks, timesheets, and invoices to the client contacts you allow. What they see is a setting, per project.
What does Odoo cost for consulting and HR firms, and how long does it take?
Both depend on the workflows, the state of the data, and the number of integrations, so we do not publish a price list or a standard timeline. You get a written scope with a quote and dates, and nothing starts until you approve it.
What happens after launch?
The system keeps an owner. Odoo Support runs month to month for fixes, changes, and questions. Odoo Operations is a committed engagement for teams that want us to own the platform, including upgrades.

A short message is enough: what you do, what you run today, and where the work gets stuck. If Odoo is on the table, the Odoo Assessment is free and ends in a written Preliminary Scope.
