Odoo for schools and training providers, on the business side.
A school is also a business with invoices, payroll, purchases, and a waiting list. That side is usually run from spreadsheets and goodwill.
We set up Odoo for the office of a private school or training provider: inquiries, enrollment, billing, purchasing, and budgets. Grades, transcripts, and attendance stay in a student information system.
- Written scope before work starts
- Built on staging
- Supported after launch
Where a school office loses its time.
Inquiries with no follow-up
A family or a company asks about a program. The inquiry sits in an inbox, and nobody can say how many are open.
Billing by spreadsheet
Tuition plans, sibling discounts, deposits, and late fees are tracked by hand. Month end is a reconciliation project.
Budgets nobody can see
Department heads spend against a budget they see once a term. Purchases are approved in hallway conversations.
Course sales in a separate tool
Registrations, payments, and attendee lists for short courses live in a tool that does not talk to accounting.
Odoo for schools and training providers: what it covers.
Inquiries as a pipeline
Every inquiry becomes a record with a stage, an owner, and a next step. Forms on your website feed it directly.
Recurring invoices and payment plans
Recurring invoices, installment plans, online payment, and reminders. Each family or client has one statement.
Requests, approvals, and budgets
Purchase requests with approval steps, and budgets by department that update as money is committed.
Events and online learning
Registration and payment for courses and events, and an eLearning app for content, quizzes, and certificates of completion.
| Need | Usually configuration | Needs its own scope |
|---|---|---|
| Tuition billing | Recurring invoices, installments, and discounts by rule. | Scholarship programs with their own payment and reporting rules. |
| Student records | A contact record per student and family. | A connection to your student information system, depending on what it allows. |
| Online courses | Course content, quizzes, and completion certificates. | Accredited coursework, proctoring, and gradebook rules. |
| Staff | Employee records, time off, and recruitment. | Payroll, teacher certification tracking, and background check workflows. |
This is a guide, not a price list or a promise. What applies to you depends on your Odoo plan, your current software, and your rules, and it is settled in a written scope before work starts. See Odoo implementation and Odoo integrations.
Keep the student information system.
Your student information system holds grades, attendance, and transcripts, and it should keep doing that. Odoo has no academic record as standard, and building one is rarely worth it. The gain is in the office around it: inquiries, billing, purchasing, and budgets in one place, with the two systems sharing what they need to.
Connecting systems that are not Odoo is covered under API and systems integration, and software built for your own rules under custom software.
One enrollment, from inquiry to paid invoice.
This is how the work can move once the steps share one record. Your version will differ, and which steps are configuration or integration depends on your setup.
-
A family asks
The website form creates an inquiry with a stage and an owner. Nobody has to forward an email.
-
A visit is booked
The admissions lead schedules a visit and records the outcome. Open inquiries are visible in one list.
-
The family enrolls
Enrollment creates the billing plan. The first invoice and the payment link go out the same day.
-
Tuition runs itself
Invoices are issued on schedule, payments are matched, and overdue accounts get a reminder without anyone building a list.

Six phases, one accountable team.
-
Understand the workflows
We follow real work through your operation: where it starts, who touches it, where it waits, and where it gets retyped. You get a written scope that says what we found and what we recommend.
-
Configure and integrate
Configuration first, integration second, custom work last and only where the first two fall short. Everything is built on staging, not on your live system.
-
Validate the data
Your records are cleaned and loaded on a test copy, then checked by the people who know them. Bad data is the most common reason a launch disappoints.
-
Train the team
Each team learns its own part on its own real cases. Short written guides stay behind.
-
Launch
A planned cutover with a checklist, a way back, and us on hand while the first real work goes through.
-
Support
After launch the system has an owner. Odoo Support runs month to month, and Odoo Operations is a committed engagement for teams that want us to own the platform.
Questions we hear from schools and training providers.
Can Odoo replace our student information system?
No, and we would not try. Odoo has no gradebook, transcripts, or attendance as standard. It handles the business around the students: inquiries, billing, purchasing, and budgets.
Can Odoo handle tuition payment plans?
Recurring invoices, installments, online payment, and reminders are standard. Discounts that follow written rules are configuration. Scholarship and aid programs with their own rules are scoped separately.
Is Odoo's eLearning app a full learning management system?
It covers course content, quizzes, forums, and certificates of completion, which is enough for many training companies. It is not built for accredited coursework with gradebooks and proctoring. We tell you which side of that line you are on.
What does Odoo cost for schools and training providers, and how long does it take?
Both depend on the workflows, the state of the data, and the number of integrations, so we do not publish a price list or a standard timeline. You get a written scope with a quote and dates, and nothing starts until you approve it.
What happens after launch?
The system keeps an owner. Odoo Support runs month to month for fixes, changes, and questions. Odoo Operations is a committed engagement for teams that want us to own the platform, including upgrades.
Tell us how your office runs today.
A short message is enough: what you do, what you run today, and where the work gets stuck. If Odoo is on the table, the Odoo Assessment is free and ends in a written Preliminary Scope.
