Odoo for healthcare organizations, behind the clinical systems.
Clinical software looks after the patient. Almost nothing looks after the supply room, the equipment list, or the purchase orders.
We set up Odoo for the business side of clinics, care providers, medical suppliers, and pharmaceutical distributors. It is not an electronic health record, it does not bill insurers, and we keep patient data out of it unless your compliance team decides otherwise.
- Written scope before work starts
- Built on staging
- Supported after launch
Where the back office of care breaks down.
Supplies counted by walking the shelves
Someone checks the cabinets and writes a list. Stockouts and expired items are both found by accident.
Purchasing with no approval trail
Orders are placed by phone and card. Finance sees them when the statement arrives.
Equipment serviced when it fails
Maintenance and calibration dates sit in a binder. The schedule is whatever someone remembers.
Several locations, several ways of working
Each site orders, stores, and counts its own way. Nobody can see the whole picture.
Odoo for healthcare organizations: what it covers.
Lots, expiry dates, and locations
Supplies are received by lot with an expiry date and tracked by room or site. Alerts flag what is about to expire.
Requests, approvals, and reorder rules
Staff raise requests, approvals follow rules by amount, and reorder points create suggested orders.
Maintenance and calibration schedules
Each device has a record, a schedule, and a service history. Requests for repair are tickets with an owner.
Scheduling and time off
Shifts are planned by role and site. Time off and employee records sit in the same system.
| Need | Usually configuration | Needs its own scope |
|---|---|---|
| Supply tracking | Lots, expiry dates, and stock by location. | Barcode scanning hardware, cabinets, and device identifier requirements. |
| Distribution | Sales orders, deliveries, and lot traceability. | Licensing checks, controlled substance rules, and pedigree or serialization requirements. |
| Clinical systems | None. Odoo is kept separate by default. | Any connection to a health record or billing system, reviewed with your compliance team. |
| Compliance | Access rights by role and a change log on records. | Privacy and regulatory requirements. Those are set by your compliance officer. |
This is a guide, not a price list or a promise. What applies to you depends on your Odoo plan, your current software, and your rules, and it is settled in a written scope before work starts. See Odoo implementation and Odoo integrations.
Keep the clinical systems. All of them.
Your health record, your billing and claims software, and any dispensing system are regulated tools doing regulated work. Odoo does not replace them and should not hold patient records by default. The gap it fills is the unglamorous one beside them: supplies, purchasing, equipment, and the books.
Connecting systems that are not Odoo is covered under API and systems integration, and software built for your own rules under custom software.
One supply item, from request to shelf.
This is how the work can move once the steps share one record. Your version will differ, and which steps are configuration or integration depends on your setup.
-
A reorder is suggested
Stock at a site drops below its minimum. The system proposes an order from the preferred supplier.
-
It is approved
The order follows the approval rule for its amount. The approver sees it with the budget beside it.
-
It is received
The receipt records lot and expiry date. The vendor bill is matched to the order and the receipt.
-
It is used or flagged
Stock is moved to a room. Sixty days before expiry it appears on a list, not on a write-off.

Six phases, one accountable team.
-
Understand the workflows
We follow real work through your operation: where it starts, who touches it, where it waits, and where it gets retyped. You get a written scope that says what we found and what we recommend.
-
Configure and integrate
Configuration first, integration second, custom work last and only where the first two fall short. Everything is built on staging, not on your live system.
-
Validate the data
Your records are cleaned and loaded on a test copy, then checked by the people who know them. Bad data is the most common reason a launch disappoints.
-
Train the team
Each team learns its own part on its own real cases. Short written guides stay behind.
-
Launch
A planned cutover with a checklist, a way back, and us on hand while the first real work goes through.
-
Support
After launch the system has an owner. Odoo Support runs month to month, and Odoo Operations is a committed engagement for teams that want us to own the platform.
Questions we hear from healthcare organizations.
Is Odoo HIPAA compliant?
Compliance belongs to an organization and its setup, not to a product. Our default is to keep patient health information out of Odoo entirely, which keeps the question simple. If you need otherwise, your compliance officer sets the requirements, and we tell you plainly whether a setup can meet them.
Can Odoo replace our health record or billing system?
No. Odoo has no clinical charting and no insurance claims as standard. It runs the business beside those systems.
Can Odoo trace a lot for a recall?
Yes. Lot tracking from receipt to delivery or to a location is standard, and a recall list is one report. Serialization and pedigree requirements for pharmaceuticals go further and are scoped separately.
What does Odoo cost for healthcare organizations, and how long does it take?
Both depend on the workflows, the state of the data, and the number of integrations, so we do not publish a price list or a standard timeline. You get a written scope with a quote and dates, and nothing starts until you approve it.
What happens after launch?
The system keeps an owner. Odoo Support runs month to month for fixes, changes, and questions. Odoo Operations is a committed engagement for teams that want us to own the platform, including upgrades.
Tell us how supplies are ordered today.
A short message is enough: what you do, what you run today, and where the work gets stuck. If Odoo is on the table, the Odoo Assessment is free and ends in a written Preliminary Scope.
