Odoo Partner Nonprofits & NGOs

Odoo for nonprofits, with one list of people.

A nonprofit knows the same person as a donor, a volunteer, an event guest, and a newsletter reader. Usually in four different lists.

We set up Odoo for nonprofits and NGOs so contacts, donations, events, and spending by program sit in one database. It is not a dedicated fund accounting package, and for some organizations that matters.

  • Written scope before work starts
  • Built on staging
  • Supported after launch
Where the time goes

Where a nonprofit's small team loses time.

Four lists of the same people

The donor file, the mailing list, the event sign-ups, and the volunteer sheet overlap and disagree.

Grant reports built from scratch

A funder asks what was spent on their program. The answer is rebuilt from the general ledger every time.

Donations reconciled by hand

Online gifts, checks, and event payments arrive through different channels. Matching them to donors takes days each month.

Approvals that live in email

A program lead needs to buy something. The approval is a reply-all that finance finds later.

What we set up and run

Odoo for nonprofits: what it covers.

People

One record per supporter

Each person or organization has one record with their gifts, memberships, event history, and communication.

Giving

Donations and memberships online

Donation forms on your website, recurring gifts, and memberships with renewal dates and reminders.

Events

Registration and attendance

Event pages, ticket types, payment, and check-in, with attendance written back to each contact.

Programs

Cost by program and grant

Analytic accounts tag income and spending by program, grant, or project, with budgets and reports for each.

Configuration, or a project of its own?
Need Usually configuration Needs its own scope
Donations Online forms, recurring gifts, and receipts by email. Tax receipts to a required format, pledges, and gift matching.
Grants Budgets and actuals by grant, with documents and dates. Restricted fund accounting, cost allocation plans, and funder report formats.
Volunteers Contact records, skills, and shift planning. Background check tracking and hour reporting for programs that require it.
Website Odoo's website builder, or forms on your current site. A connection between a WordPress site and Odoo, depending on your plugins.

This is a guide, not a price list or a promise. What applies to you depends on your Odoo plan, your current software, and your rules, and it is settled in a written scope before work starts. See Odoo implementation and Odoo integrations.

Before you replace anything

Keep the fund accounting if you need it.

An organization with many restricted grants and an auditor who expects fund accounting should keep software built for it. Odoo tracks by program and grant with tags, and that is enough for many small and mid-sized nonprofits but not for all. We ask your finance lead or auditor before recommending a change to the books.

Connecting systems that are not Odoo is covered under API and systems integration, and software built for your own rules under custom software.

Illustrative example, not a client result

One supporter, from first gift to event guest.

This is how the work can move once the steps share one record. Your version will differ, and which steps are configuration or integration depends on your setup.

  1. A gift is made online

The donation form creates the payment and the donor record. An acknowledgment goes out by email.

  2. It is matched

The payment lands in accounting against the right program. Nobody keys it.

  3. The donor is invited

An event invitation goes to donors by segment. Registration and payment update the same record.

  4. The year is reported

Giving history by donor and spending by program are reports, ready for the board and the funder.

How we work

Six phases, one accountable team.

  1. Understand the workflows

We follow real work through your operation: where it starts, who touches it, where it waits, and where it gets retyped. You get a written scope that says what we found and what we recommend.

  2. Configure and integrate

Configuration first, integration second, custom work last and only where the first two fall short. Everything is built on staging, not on your live system.

  3. Validate the data

Your records are cleaned and loaded on a test copy, then checked by the people who know them. Bad data is the most common reason a launch disappoints.

  4. Train the team

Each team learns its own part on its own real cases. Short written guides stay behind.

  5. Launch

A planned cutover with a checklist, a way back, and us on hand while the first real work goes through.

  6. Support

After launch the system has an owner. Odoo Support runs month to month, and Odoo Operations is a committed engagement for teams that want us to own the platform.

Pricing
Written scope, then a quote

Every project is scoped and quoted for approval before work starts. There is no price list, because the workflows, the data, and the integrations drive the number.

After launch
The system has an owner

Odoo Support month to month, or Odoo Operations as a committed engagement.

FAQ

Questions we hear from nonprofits.

Does Odoo do fund accounting?

Not as a dedicated feature. It uses analytic accounts to tag transactions by program, grant, or fund, with budgets and reports. For many nonprofits that is sufficient. If your auditor requires true fund accounting, we would keep your accounting system and connect to it.

Is there nonprofit pricing for Odoo?

Odoo sets its own license pricing, and it changes. We do not quote Odoo's prices from memory. We check the current terms with you during the assessment.

Can Odoo work with our WordPress site?

Yes. Forms on a WordPress site can feed Odoo, and how depends on the form plugin. We operate WordPress sites for nonprofits, so we handle both ends.

What does Odoo cost for nonprofits, and how long does it take?

Both depend on the workflows, the state of the data, and the number of integrations, so we do not publish a price list or a standard timeline. You get a written scope with a quote and dates, and nothing starts until you approve it.

What happens after launch?

The system keeps an owner. Odoo Support runs month to month for fixes, changes, and questions. Odoo Operations is a committed engagement for teams that want us to own the platform, including upgrades.
